You know your way around financials and are confident handling high-stakes functions such as travel coordination, billing and reimbursements. You are excellent at communicating both verbally and in writting with executive and ground level team members, internally and externally.

You are trustworthy and dependable. You are adaptable and flexible. You love to learn, execute, and repeat - but don’t hesitate to improve broken workflows and create solutions that prevent the need to do the same thing twice.

What you'll do.

As the first Administrative Support Specialist at Kamana, you will work cross-functionally with our fully remote and distributed team to help us keep things running smoothly. As a fast-growing startup, this role will evolve with the rapidly changing needs of the company, will work closely with our leadership team, and provide you many opportunities to learn and grow. You’ll do things like:

  • Own billing processes for our customers, such as invoicing, subscription setup, referral credits, payment method updates, refunds, and issue communication (e.g. failed & missed payments)
  • Help manage internal company financials, such as processing credit card receipt uploads for executive team and other card-holding employees, processing expense reimbursements, handling payables, and helping track and report on overall company financials, budget, etc.
  • Coordinate and organize travel, event, and conference logistics such as booking flights and hotels, organizing items for shipping, and handling conference, event, and dining reservations
  • Assist in company and team meeting scheduling across multiple time zones, then help prepare meeting presentations, take real time notes, and provide attendees with clean takeaways
  • Extract, organize, and upload data for reporting across departments

Experimentation is frequent at Kamana. Comfortability with being uncomfortable is a must.

What you've done before.

You have something like three or more years of experience providing administrative support to a fast-moving remote team.

You have worked hands on with financial functions across an organization, with direct experience managing both receivables and payables across multiple platforms. You have been independently responsible for executing on many projects at once, including functions such as travel coordination, meeting documentation, and data organization.

During this time, you have mastered the art of learning new technology quickly and have honed your skills in navigating through a spreadsheet. You have thrived working in a remote and asynchronous environment, and have done so using online tools such as G-Suite, HubSpot, Slack, and Stripe.

It'd be cool if you've done this.

Having been on the ground floor of a fast-growing startup, with a desire to repeat this journey, would set you apart from other candidates, but is not required as long as it is clear you are up for the challenge! Hands on experience creating presentations and organizing meeting notes would be a great value add. Knowledge of the healthcare staffing industry would be amazing but is less important in this role as compared to other functions of the company.

Salary, benefits, & how we work.

This is a full time exempt position with an expected salary of $55,000 - $60,000/year.
